Backup Services

Backup services may be provided for servers, desktops, laptops, Macs, cloud storage, OneDrive, Dropbox, files, business systems or other digital assets, depending on the agreed service.

The website refers to 256 AES encrypted backup services. Where applicable, backup encryption will be provided in accordance with the relevant service configuration.

Backup Frequency

Backup frequency will depend on the agreed backup package, system type, client requirements, storage limits and service configuration.

Backup schedules may include daily, more frequent or customised backup arrangements where agreed.

Unless a specific schedule is confirmed in writing, no particular backup frequency is guaranteed.

Retention Periods

Backup retention periods will depend on the agreed service package and configuration.

Clients should confirm their required retention period before relying on a backup service.

Longer retention, additional storage or archive requirements may involve additional charges.

Data Integrity

We may use backup tools, reporting, monitoring or alerts to support backup reliability.

However, clients should understand that backups may fail due to connectivity issues, software faults, storage limits, device availability, user error, configuration changes, third-party service issues or other circumstances.

Backup monitoring does not guarantee that every backup issue will be detected immediately.

Recovery Services

Recovery services may be provided where data is lost, corrupted, deleted or affected by hardware failure, cyber attack, ransomware, accidental deletion or service disruption.

Recovery success depends on the availability, quality and condition of the backup, the affected systems and the nature of the incident.

Recovery Times

Recovery times will depend on:

Data volume
Internet speed
System availability
Backup location
Device condition
Third-party provider performance
Incident complexity
Client access and approvals
Required rebuild work

Any recovery time estimate is a guide only unless a specific recovery time objective has been agreed in writing.

Client Responsibilities

Clients are responsible for:

Confirming what data needs to be backed up
Checking that backup scope meets business needs
Keeping devices online where required for backup
Notifying us of new systems, users or data locations
Reviewing backup reports where provided
Testing recovery where required
Maintaining suitable cyber security controls
Maintaining appropriate business continuity plans

Exclusions

Unless agreed in writing, backup services may exclude:

Data stored outside agreed locations
Personal devices not included in the service
External drives not included in the service
Unsupported systems
Deleted data outside retention periods
Corrupted source data already backed up as corrupted
Data loss caused by client configuration changes
Data outside agreed storage limits

Disaster Recovery Planning

Backup services are one part of disaster recovery.

A full disaster recovery plan may also need to include replacement hardware, alternative working arrangements, cloud access, cyber incident response, insurance, communication plans and operational procedures.

Clients should review their disaster recovery needs regularly.

No Absolute Guarantee

Backups reduce risk but cannot remove it completely.

We will use reasonable care and skill, but we cannot guarantee that all data will always be recoverable in every circumstance.

Review

This Backup & Disaster Recovery Policy may be reviewed and updated from time to time.
